1. Who We Are
Explainly (“we”, “us”) provides a pay-as-you-go service that turns text prompts into AI-generated, narrated explainer videos. This policy explains what personal data we collect, how we use and share it, how long we keep it, and the rights you have. For the purposes of the EU General Data Protection Regulation (GDPR), Explainly is the data controller. Contact us at support@explainly.video.
2. Data We Collect
Account data: your email address, an optional display name, and either a securely hashed password or, if you sign in with Google, the basic profile information Google provides (name, email, profile image).
Content you provide: the prompts you submit and the videos and related metadata generated from them.
Billing data: we use Stripe to process payments. We do NOT receive or store your full card number — Stripe handles card details directly. We store your Stripe customer identifier, your credit balance, and a record of your transactions.
Technical data: your IP address, basic device/browser information, and server logs (including timestamps and request details) generated when you use the Service.
3. How We Use Your Data
We use your data to: provide and operate the Service (create your videos, manage your account and credit balance); process payments and maintain your transaction history; secure the Service and prevent fraud, abuse, and over-use (e.g. rate limiting); communicate with you about your account and the Service; maintain and improve the Service; and comply with our legal obligations.
Our legal bases under the GDPR are: performance of our contract with you (providing the Service and processing payments); our legitimate interests (securing, maintaining, and improving the Service); compliance with legal obligations (e.g. accounting and tax); and, where applicable, your consent.
4. Service Providers We Share Data With
We share personal data with the providers that help us run the Service, only as needed for them to perform their function. These include: Google Cloud (text-to-speech narration, AI models, and Google sign-in); BytePlus (AI image generation); Stripe (payment processing); and Oracle Cloud Infrastructure (hosting and encrypted object storage). We also send minimal operational alerts (e.g. a job identifier and account email) to an internal monitoring channel.
We may also disclose data if required by law, to enforce our Terms, or to protect the rights, safety, and security of Explainly, our users, or others.
We do not sell your personal data, and we do not use it for third-party advertising.
5. Cookies
We use a single, strictly necessary cookie to keep you signed in (authentication/session). We do not use advertising or cross-site tracking cookies.
6. Data Retention
We keep your account data for as long as your account is active. Your generated videos and job records are kept until you delete them or close your account. Operational event logs are automatically purged after about 30 days. Transaction and billing records are retained for as long as required to meet legal obligations (e.g. accounting and tax). When data is no longer needed, we delete or anonymize it.
7. International Transfers
Some of our providers (such as Google, Stripe, and BytePlus) may process data outside the European Economic Area. Where that happens, the transfer is protected by appropriate safeguards, such as the European Commission’s Standard Contractual Clauses or an adequacy decision.
8. Security
We protect your data with measures including encryption in transit (HTTPS/TLS), hashed passwords, access controls, and isolation of secrets and the database. No method of transmission or storage is completely secure, but we work to protect your data and to address issues promptly.
9. Your Rights
If you are in the EEA, you have the right to access your personal data; to have inaccurate data corrected; to have your data erased; to restrict or object to certain processing; to data portability; and, where processing is based on consent, to withdraw that consent at any time. You also have the right to lodge a complaint with your local data protection authority — in Romania, the National Supervisory Authority for Personal Data Processing (ANSPDCP).
To exercise any of these rights, contact us at support@explainly.video. You can delete most of your content directly in the app, and request account deletion at any time.
10. Children
The Service is not directed to children under 16, and we do not knowingly collect personal data from them. If you believe a child has provided us data, contact us and we will delete it.
11. Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be indicated by updating the “Last updated” date above; your continued use of the Service after changes take effect means you accept the updated policy.
